Responsibilities

The Manager, Advance Logistics Tradeshow Operations is responsible for overseeing and coordinating all aspects of advance receiving and logistics operations in support of trade shows and exhibitions. Acting as the primary liaison with General Service Contractors (GSCs), partner warehouses, and internal teams, this role ensures the seamless flow of freight from origin to show site. The manager will lead vendor sourcing, rate negotiation, staff training, and the operational execution of high-visibility shipments.

  • Serve as the primary point of contact for General Service Contractors regarding all communications related to advanced receiving warehousing.
  • Identify and establish partnerships with third-party warehouses to support trade show logistics, including both inbound and outbound shipments.
  • Negotiate rates and service terms with partner warehouse vendors to ensure cost-effective and reliable solutions.
  • Develop and deliver project-specific training to warehouse staff to ensure operational readiness and service consistency.
  • Schedule and coordinate deliveries of freight—both exhibitor and show management—to event sites in accordance with project timelines.
  • Oversee shipment tracking into warehouses, audit data entry, and ensure shipment accuracy and compliance.
  • Manage billing processes for advance receiving projects, ensuring timely and accurate invoicing.
  • Coordinate the movement and scheduling of hardware and freight between warehouse locations.
  • Act as the customer service lead for the operations team, managing and routing time-sensitive, high-visibility shipments, including show management materials, expedited loads, and deco (decorative) shipments.
  • Comply with company C-TPAT and TSA security procedures.
  • Perform other duties as assigned.

Qualifications

SKILLS AND ABILITIES

  • Must possess strong negotiation and vendor management skills.
  • Excellent communication and customer service capabilities.
  • Proven ability to manage multiple projects and meet tight deadlines.
  • Experience with shipment tracking and logistics software.
  • Familiarity with trade show logistics and GSC coordination preferred.
  • Ability to read and interpret complex business and/or technical documents.
  • Ability to write comprehensive reports and detailed business correspondence.
  • Ability to work with managers or directors and communicate ambiguous concepts.
  • Ability to present to groups across the organization.
  • Ability to solve problems with a variety of concrete variables through semi-standardized solutions that require some ingenuity and analysis.
  • Ability to draw inferences and follow prescribed and detailed procedures to solve moderately complex problems.
  • Must be eligible to work in the United States.

SUPERVISION

The position functions semi-autonomously and has no direct reports.

 

EDUCATION/EXPERIENCE

Minimum of a Bachelor's degree (or equivalent) and 5+ years of experience in logistics, tradeshow operations, or warehouse management.  However, a combination of experience and/or education will be taken into consideration. 

 

LICENSES/CERTIFICATIONS

None required.

 

TRAVEL

Periodic travel up to 40% required.
