Responsibilities

The Administrative Assistant, Truckload, reports directly to the Vice President, Truckload Brokerage (TLB). The Administrative Assistant, Truckload, is responsible for supporting the TLB Team by ensuring all assigned duties are handled and completed in an accurate, timely, and productive manner.

 

Duties include but are not limited to:

 

  • Perform various administrative functions as scheduled and upon request.
  • Process mail and email, respond when appropriate.
  • Schedule meetings and appointments.
  • Compose memos, draft letters, assist with any correspondence as needed.
  • Filing and organizing staff offices.
  • Send out schedules and reminder notices.
  • Construct and distribute notes from staff meetings.
  • Track, trace, and monitor EFW Truckload shipments and update the status with complete notes within the Transportation Management System (TMS).
  • Perform clerical processes related to the EFW Truckload business and regional operating centers. 
  • Request and process routine customer information in support of transportation, billing, and/or collection efforts.
  • Monitor the web, fax, and voice mail for service provider updates.
  • Maintain data for specific customers, markets and/or processes as required.
  • Regular attendance is required.
  • Comply with company C-TPAT and TSA security procedures.
  • Perform other duties as assigned.

Qualifications

Minimum of a High School Diploma (or equivalent) and 0-2 years of administrative support experience.  However, a combination of experience and/or education will be taken into consideration. 

 

Intermediate proficiency in Microsoft Office, internet, web-based, and job specific software applications.

Must be able to work flexible shifts.

 

Ability to plan, organize, and manage multiple projects and set priorities.

 

Ability to develop and use collaborative relationships to accomplish work goals; develops individual relationships by listening, sharing ideas, and appreciating others' efforts.

 

Maintain stable performance under pressure or opposition; handling stress in a manner that is acceptable to others and the organization.

 

Use appropriate methods and a flexible interpersonal style to help build a cohesive team and facilitate the completion of team goals.

 

Ability to read and interpret complex business and/or technical documents. 

 

Ability to write comprehensive reports and detailed business correspondence. 

 

Ability to work with groups of people such as other departments and communicate known concepts. 

 

Ability to solve problems with a variety of concrete variables through semi-standardized solutions that require some ingenuity and analysis. 

 

Ability to draw inferences and follow prescribed and detailed procedures to solve moderately complex problems.

 

Must be eligible to work in the United States.
